Manager 
Assistant

The incumbent assumes several management and communication responsibilities, as well as performs administrative, coordination and support tasks.
 
This important position requires a proactive individual, skilled in multi-tasking, with a strong sense of responsibility and a keen sense of initiative. Held by absolute confidentiality, this trusted person needs to understand business requirements quickly and have to adapt to different contexts involving different stakeholders.
Functions and Responsibilities
  • Provide high quality administrative support.
  • Proactively manage the agenda by prioritizing appointment requests, meetings and follow-ups.
  • Screen, draft and coordinate incoming and outgoing communications from the President.
  • Coordinate the creation of documents, presentations and reports according to business needs and applicable standards.
  • Coordinate strategic meetings, business meetings, prepare the agenda, required documents and presentations, write reports and keep agendas and priorities up to date.
  • Research different topics.
  • Write and manage job postings.
  • Maintain physical and electronic records.
  • Perform all other administrative tasks required by management.
Desired skills and qualifications
  • Hold a BAA or equivalent.
  • Have a minimum of 3 years of previous experience in a similar role.
  • To be recognized for having great autonomy, excellent initiative and a great sense of versatility.
  • Ease of understanding the issues, good at problem solving and having a great capacity for adaptation.
  • Strong business acumen and strong ability to work in a multitasking and fast-paced environment.
  • Excellent communication skills, great professional rigor and being diplomatic and discreet.
  • Exceptional time and organizational and time management skills with a sustained ability to prioritize work and make informed decisions.
  • Master the different software of the G-SUITE suite and Microsoft Office (mainly Word, Excel and Outlook).
  • Perfectly bilingual, oral and written.
